About the Job

The Operations Manager is responsible for leading the efforts of the firm’s professional administrative staff by providing support in workflow, operational, and facilities management areas. This role ensures that the firm operates efficiently, client services are delivered timely and accurately, internal processes are optimized for efficiency, and the physical office environment is maintained to support a productive workplace. The Operations Manager will collaborate with partners, senior staff, and department heads to enhance productivity, improve processes, and support the growth of the firm. This is a full-time position located in our Warwick, RI office and reports to the Director of Finance & Administration.

Responsibilities Include

  • Supervise and lead professional administrative and support staff, monitoring workflow and output for accuracy and timeliness
  • Assist with scheduling of accounting staff on client engagements, updating Workflow
  • Lead the firm’s E-file process
  • Ensure that all data and records are accurately maintained and securely stored
  • Review and analyze CCH Workflow reports, summarizing information, identifying issues and ensuring deadlines are met
  • Responsible for annual assignment of client engagements to staff in CCH Workflow
  • Oversee the maintenance, management, cleaning, and security at all office locations while ensuring compliance with health, safety and environmental regulations
  • Coordinate maintenance of firm’s office equipment, including copiers, fax machines, mail machine, etc.
  • Negotiate the purchase or leasing of office equipment and supplies
  • Manage office space planning, including workstations, meeting rooms, and common areas
  • Collaborate with HR department to ensure appropriate staffing levels
  • Collaborate with IT department to ensure that software, systems, and tools meet operational needs and maintain functional consistency

Education/Skills/Experience

  • Bachelor’s degree in Business Administration or related field
  • 7+ years of experience in operations and facilities management, preferably in a professional services or CPA firm environment
  • Strong leadership skills with experience managing teams and cross-functional projects
  • Excellent communication and interpersonal skills to work effectively with partners, staff, clients and vendors
  • Strong problem-solving skills and a strategic mindset
  • Strong project management and organizational skills
  • Excellent attention to detail, able to ensure accuracy and completeness in all aspects of operations
  • Knowledge of building systems, vendor management, and health and safety standards.
  • Experience using CCH Engagement, CCH Axcess, CCH Workflow, Quickbooks preferred
  • High level of proficiency in using Excel, Office, Adobe
